How page numbering is added

PDFora writes a new page-number label onto every page of a copy of your PDF. You can choose top or bottom placement, left/center/right alignment, number-only or Page X formats, a starting number, and font size.

Planning the numbering

  • Use a custom start number when the PDF is one section of a larger document.
  • Page X of Y reflects the numbering sequence created by the tool, so check the final value if you start above 1.
  • A small font works well for ordinary documents; very small or unusually sized pages may need a different setting.
  • Existing headers, footers, crop marks, or page numbers can overlap the new label, so preview the downloaded result.

When page numbers are useful

Numbering can make reports, handouts, submissions, appendices, and review copies easier to reference. If the PDF already contains printed page numbers that do not match its actual page order, decide whether to remove or visually cover those old numbers before adding a new sequence.

Keep the original

The tool creates a new numbered PDF rather than editing the source in place. Save the original until you have confirmed every page is present and the numbering appears in the intended position.

Printed page numbers and PDF page indexes can differ

A PDF viewer counts pages from the beginning of the file, while the document itself may have a cover, roman-numeral front matter, or an existing numbering scheme. Decide whether the new number should represent the physical PDF position or a logical document number before applying it.

Check headers, footers, crop marks, and existing text so the number does not overlap content. Landscape pages and mixed page sizes may need extra attention because a position that looks correct on one page can be too close to an edge on another.

Avoid creating two competing numbering systems

If the PDF already contains printed numbers, adding another set can confuse readers. When a new numbering scheme is required for a submission package, use a consistent location and explain the scheme if it differs from the original document pagination.

Numbering a submission package

When several documents are combined into one submission, page numbers can help reviewers discuss a specific page without relying on the original filenames. Decide whether numbering should start on the cover or on the first content page, and keep the choice consistent. If the recipient has a filing rule, follow that rule instead of applying a generic sequence.

After export, inspect pages with footnotes, signatures, and full-width tables because those areas often use the same lower or upper margin where a new number may appear.
